Send Confirmation email (classic)

You can send an e-mail confirmation to clients with respect to the resource bookings of their projects.

Send a Confirmation email

You can send a confirmation email in the list view in the Calendar (List button) or in the Planning Board (Clipboard icon).

In the list view you can filter the list of resource bookings by using the filter options on top of the screen and sort the columns by clicking on them. You can select resource bookings with the Select all button or select specific resource bookings using the Shift/Ctrl-key followed by clicking the Send Reminder button.

ONLY from the list view (resources), you can send a selection of multiple entries.

 

In the pop-up screen you can change the From address, the Subject and also select another template. Click on the Preview button to view the content and layout of the email according to the selected template.

Click the Send button to send the email confirmation. The email will be sent to the email address of the debtor role that has been set within Projects in the Invoicing tab. This email address can be defined within Clients in the tab Debtor Roles. The list view will show for each resource booking when the confirmation email was sent.

Edit Templates - Email templates

Templates define the layout and content of an email. Every template has a HTML and a plain text version. In the HTML version you can define your own branding elements. The plain text version will be displayed when the email client of the recipient does not allow HTML.

Open Masters > System settings > Email templates, to change existing templates or create new ones. (support article: Email templates)

Template objects

You can define the content of email templates with your own defined text in combination with standard objects. The following objects are available: 

  • {company.code} - Client code
  • {company.name} - Client name
  • {company.type} - Client type
  • {debtor.name} - Name of the client (as defined in debtors)
  • {debtor.attn} - Attn. of the client (as defined in debtors)
  • {debtor.address} - Address of the debtor
  • {debtor.postcode} - Postal code of the debtor
  • {debtor.city} - City of the debtor
  • {debtor.country} - Country of the debtor
  • {debtor.number} - The debtor's number
  • {debtor.email} - Email of the debtor
  • {project.code} - Project code
  • {project.name} - Project name
  • {project.externalLink}: External project link 
  • {project.description}: Project remarks
  • {entries.start}/{entries.end} - Start and end point of booking details

The next objects will only work if they are enclosed by the {entries.start}/{entries.end} objects:

  • {entries.start}
  • {resource.fullName} - Full name of the resource
  • {breakdown.name} - Activity name
  • {calendarEntry.date} - Date of the resource booking
  • {calendarEntry.startTime} - Start time of the resource booking
  • {calendarEntry.endTime} - End time of the resource booking
  • {calendarEntry.description} - Text from the Description field
  • {calendarEntry.remarks} - Text from the Remarks field
  • {entries.end}
